First you determine the process, i.e. who, when and what. Who prepares the documents before and after? Who will translate and by when? Do I need a second person to proofread? Is there an acceptance loop? This planning process is our daily bread and if we were to do this in Excel spreadsheets, for example, it really wouldn't be efficient. On the one hand, you need suitable and available resources and you have to be sure that you are using these resources sensibly. On the other hand, you have to invest in the appropriate technology so that translations can be carried out in-house as effectively as possible.


CAT tools (CAT stands for Computer Assisted Translation) are standard in every translation HK Phone Number agency and there is no way around them even for in-house translations. CAT is basically a database for translations. Before translation, we convert any file format into a special CAT format and analyze the text with regard to internal repetitions and comparison with the customer's existing translations. During the conversion, the text is divided into so-called segments. A segment is usually a sentence. But it can also be a smaller unit like a heading, depending on the line breaks in the original file. Instead of a Word document, for example, you now have a kind of table with individual segments, where the source text can be seen in the left column and the translation is inserted in the right column. This means you can translate sentence by sentence and compare them later when proofreading.




At the end, these segments are stored in the database, called translation memory. If the same or very similar headings or sentences are present in the next project, the CAT tool will display this and you do not have to re-translate them or adapt them very little. This not only saves a lot of time internally for translation, but also reduces translation costs if the translation is carried out externally. Many companies that translate in-house do so without a clear system, structured processes or uniform tools, i.e. translation memory.
